We’re searching for a diligent real estate administrative assistant. You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. In addition, you’ll work with other staff members to market our brand and arrange company events in the community. Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of paperwork processes and database management.Compensation:

$12 – $15 hourly


  • Compete with others in the real estate industry by producing high-quality print and digital marketing materials
  • Assist the real estate team in facilitating local events to foster connection to people in the neighborhood
  • Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
  • Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
  • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized
  • Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments
  • Take part in employee development programs to strengthen existing skill sets in real estate administration
  • Serve as a liaison between the team leader and clientele
  • Assist team leaders with any daily, weekly, quarterly projects (All computer based)
  • Oversee the team leader’s schedules, team meetings, and travel arrangements
  • Keep track of leads and hold agents accountable for missing tasks – Systems are in place
  • Post and create content on all platforms of social media
  • Create graphics and clip art using tools provided (no experience necessary, but creativity is a must)
  • Organize and maintain all back end systems for team
  • Work closely with the office team to ensure compliance on all files
  • Answer office phones during working hours and direct calls appropriately
  • Engage with clients (phone, text, email) when necessary
  • Input information received about clients through streamlined database management
  • Communicate and keep relationships with 3rd party vendors
  • Help listing agents prepare consumer evaluations
  • Create flyers and marketing pieces for new listings in various forms digital, photo, video, paper, etc.
  • Create presentation materials for all agents in various forms digital, paper, etc.
  • Help coordinate events when applicable
  • Be detail-oriented, accuracy is vital
  • Want to aspire to work full-time
  • Ability to work remotely when necessary (need just a PC/MAC and a high-speed internet connection)
  • Adjust to the needs of the real estate office and execute other assistant duties when necessary
  • Deliver concierge-level customer service to sellers, buyers, and lenders to improve customer satisfaction ratings
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met


  • Real estate license preferred
  • Excellent written and verbal communication skills
  • Must have high school diploma or GED
  • Available evenings and weekends
  • Has knowledge of Microsoft Office, manage customer relationship management software and cloud based marketing software
  • Multitask and quickly shift tasks to complete a variety of menial duties without letting anything fall through the cracks
  • Possesses discernment for working with confidential information and tight deadlines
