Transaction Coordinator for Real Estate / Virtual Position – Assist-a-Pro (Tampa)

Transaction Coordinator (Contract-to-Close) for our Transaction Management Division

Job Description/Responsibilities:

As a part of our Transaction Management Division, you’ll be tasked with managing the transaction from contract-to-close as an extension of our clients.

  • Coordinate the following transaction items; (abridged list for posting purposes)
  • Manage all aspects of transactions/files from contract-to-close
  • Coordinate/assist with documentation related to the transaction, including but not limited to; title, mortgage, inspection(s), and appraisal(s)
  • Input all necessary documentation into appropriate system(s) for file compliance (SkySlope, DotLoop, appFiles, etc.)
  • Regularly update & maintain communication with client(s), agent(s), title officer, lender, etc., per the transaction checklist
  • Ensure that all the required addenda are included in the file, and that all signatures and initials required are present on the contract and addenda
  • Provide superior experiences for all parties, exceeding service-level expectations, creating client loyalty while growing the Assist-a-Pro brand.
  • Effectively manage multiple transactions simultaneously, ensure critical deadlines are met, and report accordingly within a fast-paced environment.
  • Return phone calls and emails in a timely manner to all parties involved, ensuring effective communications are maintained.
  • Maintain and update system to provide real-time status on all transactions.
  • Ability to work and support clients during traditional business hours, 9AM to 5PM


  • 2+ years of successful Transaction Management (Contract-to-Close) experience in Real Estate office or supporting REALTOR(s) as part of a team
  • Real Estate License is preferred but NOT required
  • Bilingual in Spanish is a plus but NOT required
  • High School Diploma or higher (preferred)
  • Proficient in MS Office (especially strong in Excel), Dropbox, Gmail, Internet
  • Experience working in one of the following; DotLoop, appFiles, or other document/transaction management system is a plus
  • Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents
  • Proven ability to work well independently as well as in a team environment
  • Commitment to following Assist-a-Pro’s Transaction Management Processes and other company procedures

Compensation (commensurate with experience and talent)
