Assistant Property Manager – ZRS Management/Mystic Bay Apartments (Largo)

SUMMARY OF POSITION The position of the Assistant Property Manager is reserved for those employees identified as strong candidates for the Property Manager position. This role is paramount in the success of the leasing effort and is a key position in our “promote from within” philosophy. The Assistant Property Manager, like the Leasing Consultant, must project the image of our corporate philosophy and be a model for other employees as well as others in the industry. The Assistant Property Manager’s primary responsibilities include motivating and encouraging the Leasing Consultants in leasing tasks; compiling, understanding and utilizing market information on an on-going basis; and preparing for advancement to Property Manager. The position of Assistant Property Manager reports directly to the Property Manager.

DUTIES and SPECIFICATIONS: The Assistant Property Manager’s primary responsibilities shall include but are not limited to: * Works with the Property Manager to minimize expenditures, maximize revenues and adhere to budgeted cost parameters. * Works with leasing staff and accounting department to ensure all rent is collected as due and that all revenue data is posted correctly in accounting system. * Manages preparation of all resident correspondence, including late payment notices. * Works with the Property Manager to execute unlawful detainers and 3 Day Notices as required. * Produces monthly resident delinquency reports and property accruals. * Assist Property Manager to complete monthly financial and property activity reports. * Assist Property Manager to prepare annual budgets. * Ensures all resident move-in, move-out and other leasing data is entered correctly and in a timely manner into the on-site property management software system. * Assist Property Manager and maintenance team to insure that resident buildings, common areas and grounds are maintained according to property objectives. * Identify, through market research, those properties which are under-performing and report those findings to the Property Manager and Regional Manager. * Assists Property Manager with scheduling, organizing and hosting tenant functions. * Schedules site visits regularly. * Shows vacant suites as necessary and explains property rules and regulations. Ensures all move in/move-out paperwork is completed correctly and has been approved by the Property Manager. * Takes escalated service requests and works with property team to ensure adherence to customer service standards. Works with on-site staff to insure that resident issues are dealt with in a timely manner and that proper follow-through is done. * Works with the Property Manager to maximize resident renewals. * Assist Property Manager to train and develop on-site leasing staff according to company policy and procedure. * Works with Property Manager to develop an effective, proactive team that works together to achieve property objectives such as higher traffic numbers through new avenues of marketing through newspaper articles. * Assisting the Property Manager in promoting a positive attitude and motivating leasing staff to meet monthly leasing goals. Works with Property Manager to insure that all safety inspections are completed as required. * Works with Property Manager to insure adherence to company safety standards, policies and procedures. * Acting as the Property Manager in his/her absence including beeper duty if needed. * Learning all aspects of Property Manager’s responsibilities to ensure promotability.  Comply with Fair Housing requirements and laws.

SKILLS, KNOWLEDGE and ABILITIES: * Posses excellent computer skills * Posses verbal, math and reasoning skills * Able to read and write in English language in a professional manner * Demonstrated effective negotiating and good communication skills * Posses strong leadership; interpersonal and organization skills * Posses effective time management skills * Must possess attention to detail * Knowledge of Microsoft Excel, Microsoft Word and other Microsoft Office products * Knowledge of Internet, Email and Social Media as it pertains to marketing of community * Knowledge of business practices and principles * Ability to handle multiple projects and tasks * Ability to cope with stress in a composed manner * Ability to respect and maintain confidentiality

QUALIFICATIONS: * High school diploma a must, Post-secondary preferred in units in business, property management or architecture.

WORKING CONDITIONS and PHYSICAL DEMANDS: Assistant Property Managers work in an office environment. They sometimes work outside inspecting properties and supervising workers and contractors. This person should be able to push, pull, stoop, kneel, reach, grasp, talk, hear, climb, and lift objects up to 10 pounds with ease. They work normal business hours, although long hours and evening meetings are required. They may be required to deal with emergencies on weekends and holidays. This position is required to work at a minimum one weekend per month. In addition, this position may be required to assist with on-call status. This position will involve light travel for training and education seminars.
