    Respond to tenant needs and coordinate with Engineering Staff and PM to resolve issues.

    • Respond promptly to all problems and concerns; maintain positive relationships with tenants and vendors.
    • Assist in preparation of monthly reporting including aged receivables, variance and capital reports.  Understand and provide explanation for variance.
    • Assist in preparation of annual budgets as needed and requested by PM.
    • Perform regular inspection of properties.  Report findings to PM and Building Engineers.
    • Create and maintain all tenant and vendor files in standards set by Company.
    • Coding of all invoices and copying, Federal Expressing to accounting group and filing of invoices promptly after being sent to accounting.
  • Maintain aging and reconciling of tenant accounts.  Maintain tenant receivables to ensure there are no receivables over 60 days.
  • Prepare Account Reconciliation (AR) forms for PM’s review and approval.
  • Input lease information into accounting software designated by Owner.
  • Create Vendor Work Orders
  • Bid and prepare service contracts and necessary bid package documents.
  • Obtain required tenant and vendor insurance and review for accuracy.  Make sure all certificates are correct prior to a vendor or contractor performing work on any property.
  • Filing must be done on weekly basis
  • Provide Workspeed Work Order System support for tenants and Building Engineers.
  • Administrative support for PM and Building Engineers
  • Update Emergency Handbook on semi-annual basis
  • Maintain tenant and vendor contact lists, including emergency numbers
  • Assist PM with Tenant Improvements including but not limited to file maintenance, tenant finish selections and construction process.
  • Organize tenant socials and holiday gifts to tenants.
  • Prepare tenant billbacks for electrical usage, after hours HVAC, access cards, etc.  Prepare AR forms to charge tenant accounts for same.
